Dealership operations

The enquiries that arrive after the showroom closes

A showroom is staffed for roughly the hours its customers are at work. That single mismatch is the reason a dealership's website is busiest when nobody is there to answer it, and it is worth looking at squarely rather than treating as a fact of life.

When the buyer is actually looking

Car buying research happens in the evening, after dinner, and across the weekend - precisely because the buyer spends your opening hours at their own job. Look at your own website analytics by hour before you accept anyone's claim about this, including ours: the shape of the curve is specific to your market and your stock, and it is the only number that should drive what you do next.

What an unanswered enquiry actually costs

The buyer considering your car is rarely considering only your car. The same question tends to go to two or three dealers in the same evening, and whoever answers first is the one who gets to frame the comparison - which car, which finance structure, which trade-in assumption. By the time a Monday morning reply goes out, the frame has usually been set by somebody else, and the reply is now arguing against it rather than setting it.

What can honestly be answered without a salesperson

A good deal more than most managers expect, and less than most vendors promise. Stock and specification, how finance and leasing differ in practice, what the trade-in process involves and what documents it needs, warranty terms, service intervals, opening hours, booking a test drive - all of these are published facts and answerable at any hour. A specific price on a specific unit, a trade-in valuation, and anything involving a discount are not: they depend on judgement and on numbers that move, and an answer invented at midnight costs more than silence.

Two things to fix before automating anything

First, write down what the dealership is willing to say in public. Most of the difficulty in this project turns out not to be technical - it is that nobody has ever decided, in writing, what the answer to "how much will you give me for my car" should be before a valuation. Second, make sure the enquiry lands somewhere a human will see it, with a name and a way to reply attached. An assistant that answers beautifully and records nothing has converted a lead into a pleasant conversation.

Frequently asked questions

How many car enquiries arrive outside opening hours?
It varies by market and stock, so take the figure from your own analytics rather than from any vendor's slide. Break your website sessions and form submissions down by hour of day and day of week; the proportion falling outside your staffed hours is the number that matters, and it is usually larger than the showroom floor assumes.
Can a website assistant answer questions about specific cars in stock?
It can answer whatever your website publishes. If your stock list, specifications and availability are on your own pages, an assistant reading those pages answers from them and can cite where it got the answer. If your stock lives only in a dealer management system that the website does not show, that is an integration job and should be scoped as one.
Should an assistant quote prices?
Published list prices, yes. A negotiated price on a specific unit, no. The distinction is whether the number is already public: if it is, repeating it is accurate and useful; if it is not, any number the assistant produces is either a guess or a commitment the dealership did not make. Whether price is quoted at all should be a setting you control, not a property of the software.
What happens to the enquiry after the assistant answers it?
That is the part worth insisting on. The conversation should produce a record - who asked, what they asked, which car, how to reach them - waiting for the first person who opens the system in the morning. Ask any vendor to show you that record before you ask them anything about answer quality.
Does this replace the sales team?
No, and treating it as a staffing decision is how these projects fail. It covers the hours nobody is rostered for and the questions that have published answers, which is work the sales team was doing badly because it was doing it late. The negotiation, the valuation and the relationship stay with the people who are good at them.
